E-Mail Assurance Service

Picture In a non-stop world where communication is vital, a few moments of unavailable e-mail can cost a company more than just productivity delays. In today’s workplace, e-mail is the number one business tool, and companies now rely on e-mail as a basic workflow instrument – demanding that it be available at all times. The simple fact that if an email server is not reachable even for a short period of time a response to the sender will be automatically generated that can have a significantly negative effect on a reputation. An outage or unavailability of your e-mail system can send the wrong message to employees, vendors, and potential or existing clientele:

  • A customer who receives a failed e-mail may think twice about purchasing products.
  • A partner who receives a bounce-back may question the stability of the firm
  • A new client who receives a failed e-mail may not move forward with that next project
  • An employee fails to receive the vital meeting notes and arrives unprepared for that big meeting
  • A vendor who receives a failed e-mail may re-evaluate it’s credit offerings
  • A partner does not receive a critical notification of a meeting time change

The demands on availability are extremely difficult to manage due to the many components that make up the complete e-mail solution. The question is not IF e-mail will be unavailable or unreachable, but WHEN and HOW LONG. An electronic mail system will be unavailable for many reasons, power, internet connectivity, hardware failure, server maintenance, virus infection, malicious human intervention, or unintentional human error.

IND provides a valuable solution that provides an always-available email system without substantial investment called the E-Mail Assurance Service. This service provides complete peace of mind by ensuring uninterrupted e-mail receipt and delivery GUARANTEED. Email Assurance provides redundant and alternative locations for email to be received whenever the primary e-mail server(s) are unreachable. Multiple fault-tolerant e-mail servers are housed on redundant dedicated internet connections, routers, and switches to provide complete fault tolerance. The email assurance solution delivers a more comprehensive redundant solution since it is located off-site eliminating local issues such as power, internal network issues, or internet connection.


How E-mail Assurance Works

Whenever a primary e-mail system is unreachable, email is automatically routed to secondary or tertiary servers at IND NOC locations. Once received by an array of servers, the email is stored and the primary e-mail server is continually monitored for availability. Upon return of primary email server(s) availability, the e-mail is sent on to the original destination without alteration to the original e-mail message. (Those who subscribe to E-Mail Assurance should consider the Guardian Monitoring service to alert them e-mail server, router, firewall, or internet related issues automatically.)

What E-Mail Assurance Provides:

  • Complete Peace of Mind knowing that E-Mail will never be unreachable for incoming email messages.
  • Confidence that Third-Parties should never receive an embarrassing NON-DELIVERABLE RESPONSE from your email systems or addresses under your company names due to unavailability.
  • Insurance that even if your E-Mail server is simply over-worked that incoming e-mail will be received when the current workload reduces. E-Mail Assurance provides this automatic fail-over even in instances when the system is not down, but simply over-taxed.
  • Storage and backup of E-Mail Messages up to 30 days.
  • A reliable always-on redundant solution to protect against hardware failures and scheduled or unscheduled maintenance of E-Mail Systems.

What E-Mail Assurance Does NOT Provide:

  • End-User Access to E-Mail while Primary E-Mail Systems are off-line. This service does not provide a portal or other access for end-users.
  • Notification that your Primary E-Mail system or components are un-available. This notification requires the Guardian service in combination with the E-Mail Assurance Program for a completely comprehensive solution. Guardian is an essential Network Monitoring Service that provides 24/7/365 monitoring and notification of systems, services, and network devices.

Service Level Agreement: If at anytime this service fails to perform as defined, and the cause is not deemed an act of God or outside the control of IND then in such a case IND Corporation will refund up to a maximum of 100% of that months subscription fee and 50% of any utilized bandwidth charges.
